DocuQuest LLC ("DocuQuest," "we," "us," or "our") operates the Unity platform ("Unity" or the "Service"), accessible at unity.docu.quest and docu.quest. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our Service.

By accessing or using Unity, you agree to this Privacy Policy. If you do not agree, please do not use the Service.

1. Information We Collect

1.1 Information You Provide

Account Information: When you create an account, we collect your name, email address, phone number (optional), and password. If you are a Property Manager or Legal Counsel, we may also collect your company name.

Association Data: Documents you upload (declarations, bylaws, amendments, contracts, minutes), notes you create, and messages you send within Unity are stored as part of your Association's workspace.

Payment Information: If you subscribe to a paid plan, payment details (credit card or ACH) are collected and processed directly by our payment processor, Stripe. We do not store your full payment card numbers on our servers.

Communications: If you contact us via email or through the Service, we retain the content of those communications.

1.2 Information Collected Automatically

Usage Data: We collect information about how you interact with Unity, including pages visited, features used, timestamps, and referring URLs.

Device and Browser Information: We collect your IP address, browser type and version, operating system, and device type to optimize the Service and for security purposes.

Cookies and Similar Technologies: We use cookies and local storage for authentication, session management, and analytics. See Section 6 for more details.

2. How We Use Your Information

We use your information to:

• Provide, maintain, and improve the Unity platform
• Process your document uploads and enable AI-powered search and question answering (DocuQuest)
• Facilitate messaging and collaboration within your Association
• Send transactional emails (invitations, notifications, password resets)
• Process payments and manage subscriptions
• Monitor and improve platform security
• Analyze usage patterns to improve the Service
• Respond to support requests and inquiries
• Comply with legal obligations

3. How We Share Your Information

We do not sell your personal information.

We share information only in the following circumstances:

3.1 Within Your Association

Messages, documents, and notes you create within an Association workspace are visible to other authorized members of that Association based on their role and access permissions. Your name and role are visible to other members of Associations you belong to.

3.2 Service Providers

We use third-party service providers to operate and improve Unity. These providers process data on our behalf and are contractually obligated to protect your information:

• Google Firebase (Google LLC) -- Authentication, database, and file storage
• Pinecone (Pinecone Systems, Inc.) -- Document indexing and AI-powered search
• Anthropic (Anthropic PBC) -- AI language model for generating DocuQuest responses
• Google Document AI (Google LLC) -- Optical character recognition (OCR) for scanned documents
• Stripe (Stripe, Inc.) -- Payment processing and subscription management
• Resend (Resend, Inc.) -- Transactional email delivery
• Vercel (Vercel, Inc.) -- Application hosting and deployment
• Google Analytics (Google LLC) -- Website and usage analytics
• Upstash (Upstash, Inc.) -- Rate limiting and security

3.3 Legal Requirements

We may disclose information if required by law, subpoena, court order, or governmental request, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

3.4 Business Transfers

If DocuQuest is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.

4. AI Processing and DocuQuest

When you use DocuQuest to ask questions about your Association's documents, the content of your uploaded documents and your query are sent to our AI service providers (Pinecone for document retrieval and Anthropic for response generation) to produce answers with citations.

Important: Your Association's data is isolated and is not used to train AI models. Document content is processed only to respond to your specific queries within your Association's workspace.

DocuQuest responses are informational and are not a substitute for legal advice. For high-risk decisions, consult qualified legal counsel.

5. Data Security

We implement industry-standard security measures to protect your information, including:

• Encryption in transit (TLS/HTTPS) for all data
• Encryption at rest for stored data
• Role-based access controls enforced at the application and database level
• Tenant isolation ensuring Association data is never accessible across organizations
• Rate limiting to prevent abuse
• Regular security reviews

No method of transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

6. Cookies and Tracking

Unity uses the following cookies and similar technologies:

• Authentication Cookies: Required to keep you signed in and maintain your session. These are essential and cannot be disabled.
• Association Context: A cookie that stores your currently selected Association for navigation purposes.
• Google Analytics: We use Google Analytics to understand how visitors use our site. You can opt out by installing the Google Analytics Opt-out Browser Add-on.

7. Data Retention

We retain your account information and Association data for as long as your account is active or as needed to provide the Service. If an Association's subscription is terminated, we will retain data for a reasonable period (not to exceed 90 days) to allow for data export, after which it will be permanently deleted.

You may request deletion of your personal account at any time by contacting us. Association-level data deletion must be requested by the Association's Board Admin.

8. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal information we hold about you
• Correct inaccurate or incomplete information
• Request deletion of your personal information
• Object to or restrict certain processing of your information
• Data portability (receive your data in a structured, machine-readable format)

9. California Privacy Rights

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete, and the right to opt out of the sale of personal information. As stated above, we do not sell personal information.

10. Children's Privacy

Unity is not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected information from a child under 18, we will take steps to delete that information promptly.

11. Third-Party Links

Unity may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to read their privacy policies before providing any information.

12. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or by posting a notice within the Service prior to the change becoming effective. Your continued use of Unity after changes are posted constitutes your acceptance of the updated policy.
